Three rules worth more than any template

  • Never argue the facts in public. The reply is read by the next hundred prospects, not by the reviewer, and they judge tone rather than who was right.
  • Reply within a day or two. A fresh complaint sitting unanswered at the top of your profile does damage every hour it is there.
  • Never mention private details — appointment times, addresses, medical or financial information. In some categories that is a regulatory problem as well as a bad look.

You are not writing to the reviewer

The person who left a one-star review has usually stopped reading. The audience for your reply is every prospect who scrolls your profile over the next year, and they are looking for one thing: what this business is like when something goes wrong. That is the only place on a profile where they can see it.

Which is why arguing the facts loses even when you are right. A reader with no stake in the dispute reads a rebuttal as defensiveness and a calm, specific acknowledgement as competence, regardless of who was actually at fault. The reply that wins the next customer is frequently the one that concedes something.

And a three-star review is the most winnable thing on your profile. That customer is telling you they nearly liked it. A good reply to a mixed review moves more business than a good reply to a five-star one, and almost nobody bothers.
